Our Admitting & Registration Department is an integral part of your experience here at Sierra Vista Regional Health Center. From accurately entering your information to upholding confidentiality and HIPAA guidelines closely, we take pride in making your first contact with our hospital, a pleasant and smooth one.

Our Admitting & Registration staff is well on their way to becoming entirely professionally certified. our team members are completing and passing the very challenging exam to become Certified Healthcare Access Associates (CHAA). The National Association of Healthcare Access Management (NAHAM) who sponsors this certification has established competency levels in the field of access services for “line staff” professionals. The knowledge base tested includes administration and regulations, billing, insurance, and financial information, medical records, patient rights and responsibilities, communication, patient satisfaction, customer service, laws and regulations affecting patient services, HCFA regulations, HIPAA, JCAHO, and medical necessity.

Registration Procedures

Inpatient/Outpatient Registration

At Sierra Vista Regional Health Center, you are our top priority. Our main concern is your care and well-being. That’s why our Admitting & Registration department’s main focus is to get you registered as quickly and smoothly as possible.

When you arrive at our hospital, the Concierge will take some basic information and then will guide you to a registration window. During your in processing, the Admissions Clerk will verify current information, your appointment, and double check the physician order.  We register patients and perform services based on your physician order.  This order must be complete or it may postpone or delay your services.

If this information is not available at registration we will need to obtain this information prior to registration.  Please review these requirements with your physician when the order is being prepared.  Your Co-pays or deductibles for service will also be obtained at this time, if applicable.  After this process is complete, you'll be on your way to the appropriate department.

Sierra Vista Regional Health Center strictly abides by HIPAA laws in maintaining the confidentiality of your healthcare information. We ask that those patients who are waiting to be checked in at Client Services, wait in the lobby area until a window becomes available, to allow privacy and consideration to those patients being processed.

Emergency Registration

Our Emergency Room is a busy place, so we would like to take this opportunity to assure you that you will be cared for as quickly as possible. But sometimes we have to ask our patients to be patient. Our policy is to treat those who are the most seriously ill or injured first. That means heart attacks have priority over earaches and compound fractures are treated before small cuts. So if you have a minor emergency and have to wait, we hope you will understand. With your help we can give every emergency the care and attention that it deserves.

When you arrive at our Emergency Room, please go to an Admitting & Registration window to provide basic information such as name, date of birth, and a description of your emergency. Depending on the priority you will either be taken right back to a room, or you will be asked to wait in the lobby in order for a nurse to call you into the Triage Room. After this has taken place, you will be asked to return to the Admitting & Registration window to verify or update information in our computer, check insurances, and make your insurance co-pay or deductible.

Labor/Delivery Pre-Registration

Choosing to have your baby at Sierra Vista Regional Health Center gives you the peace of mind you seek. That peace of mind starts with pre-registration in Admitting & Registration before you go into labor.

Our helpful staff encourages you to stop by at least six to eight weeks prior to your due date so that you may pre-register with them. You may have already received a pre-registration card from your physician. Please fill this out at home and bring it in with your insurance cards and a picture ID. If you have not received a card we will be happy to give one to you when you pre-register. You are welcome to stop in at any time, but the best times to pre-register are early morning from 6:00 a.m. to 8:30 a.m. or in the evening from 7:00 p.m. to 8:30 p.m. Our staff will obtain or update your information to ensure we have all necessary signatures prior to the big day.

Registration FAQ’s

Because we realize you don’t feel well, are anxious, or in pain, we want to help set the tone for your visit. We will strive to make your time in Admissions and overall visit to our hospital as seamless and pleasant as possible. Here are some Frequently Asked Questions that will assist you:

What are the hours and location for Patient Registration?

• Concierge Services (located at the main entrance) at 300 El Camino Real, is available from 6:30 a.m. – 4:30 p.m. This is where you will begin your check-in process. Please call 417-3258 for more information.

• Our Emergency Department Lobby (located in the main hospital) is open 24 hours a day, 7 days a week.

• Our main Lobby is open from 6:00 a.m. to 8:30 p.m. Monday through Friday.

• The Lenio Diagnostic Center, located at 200 El Camino Real, is open Monday through Friday 7:00 a.m. to 4:00 p.m. for lab tests. Please call 417-3247 for more information.

• Ambulatory Surgery Center, located at 151 Colonia de Salud, is open Monday through Friday 7:00 a.m. – 5:00 p.m. Please call 417-4900 for more information.

 

Why do I get asked the same questions each time I come to the hospital?

Information such as name, address, and insurance may change so we need to make sure that your information is correct and current. By having this information entered correctly, ensures your tests, billing, and insurance payments will be processed in the most expedient manner.

Why am I being asked to pay?

By collecting your co-payment or making arrangements for your payment at the time services are rendered ensures that the co-payment your insurance company requires is already taken care of, reduces billing costs, and honors our contracts with insurance companies. For your payment convenience, we have a secure drop box located in the parking lot on the east side of our main entrance.

Why am I receiving separate bills for the same service?

Sometimes you may receive separate bills from other services during your hospital visit. These additional bills may include radiologist readings, emergency physician, and anesthesiology. We are happy to help you at any time to determine why you are receiving additional bills. We ask that you review the bill to see where it is coming from prior to calling us.

Why must I complete the Medicare Secondary Payer Questionnaire every time I come into the hospital?

Medicare requires this questionnaire to be completed every time a Medicare recipient seeks medical services. This helps them determine whether they may seek repayment for services from another source.

What documents do I need to bring when I come in?

So as to not delay your in processing, we ask that you bring:

• Picture/Military ID
• Insurance card
• Physicians orders/prescription/tests/referral
• Know your current personal information (address, phone number, etc)
• Bring your co-pay or deductible
• Know patient information if different from primary insurance card holder
• Know your primary care physician information (name, address, phone number, etc)
